This Corporate Social Responsibility (CSR) Policy defines our commitment to sustainable and ethical business practices. It details how we address our impact on society and the environment, ensuring we operate accountably for our stakeholders, including our clients, employees, linguistic partner and the community.
2. Social Responsibility and Ethical Operations
2.1 Pro Bono and Community Engagement
We maintain an active pro bono program, providing free translation and interpretation services to qualified non-profits. This pro bono program is designed to support causes that promote education, humanitarian relief, and social equity.
2.2. Employee Well-Being
We promote a healthy work-life balance through flexible working arrangements, a remote-first model, and a supportive management culture. We value mental health and foster a collaborative, not competitive, team-oriented atmosphere.
2.3 Diversity, Equity and Inclusion (DE&I)
We provide equitable treatment and opportunity to all employees and applicants without regard to race, gender, religion, age, disability, or any other characteristic protected by law. Every decision across the employee lifecycle, from initial recruitment to compensation, advancement, and professional development, is made based on relevant qualifications, merit, and performance.
2.4 Fair Vendor Treatment
- We establish clear, mutually agreed-upon rates with all our linguists and are committed to fair pricing that reflects professional expertise. Speculative work (e.g., unpaid tests beyond a small, standardized sample) is prohibited.
- We uphold a standard of prompt payment, processing all invoices for our linguistic partners promptly upon receipt and according to agreed-upon terms.
- We partner with linguists based solely on merit and maintain fair practices in project allocation and access to resources. Decisions are guided solely by professional qualifications, subject-matter expertise, and consistent performance.
- We support our linguists’ professional development by providing ongoing training on new translation technologies, access to specialized software, and resources like style guides and glossaries, complemented by constructive feedback, clear communication and respectful collaboration.
- Our linguists retain the right to refuse projects that conflict with their ethical beliefs or for which they feel inadequately qualified, without penalty to future work opportunities.
3. Environmental Responsibility
We acknowledge our responsibility to minimize the environmental impact of our business activities.
3.1. Digital-First Workflow
We maintain a primarily digital workflow. While we may produce physical copies in rare, exceptional circumstances, our standard practice is to avoid printing entirely. All standard processes, including project management, file transfer, delivery, invoicing and even accounting and auditing are handled through digital platforms and Cloud-based systems, eliminating the need for paper-based processes.
3.2. Remote Work Model
Our decentralized team of linguists and a flexible remote work policy for employees, which allows them to work from home three days a week, significantly reduce the carbon emissions associated with daily commuting and maintaining large office spaces.
3.3. Sustainable Resource Management
We prioritize energy-efficient software and partner with data centers and Cloud-computing service providers that demonstrate a strong commitment to environmental responsibility for our necessary office infrastructure and operations (e.g. CAT tool servers, project management system). In our physical office, we implement recycling programs through clearly labelled stations for paper, metal and plastics.
4. Ethics and Quality
Trust and integrity are the foundations of our business. We hold ourselves to the highest standards of professional
conduct.
4.1. Confidentiality and Data Security
- All our linguists and staff are bound by strict non-disclosure agreements (NDAs).
- We adhere to data protection regulations, including GDPR. Client data is processed and stored using secure, encrypted servers and systems with role-based access.
- A clear data retention and purge policy is in place to permanently delete sensitive client data after a project’s conclusion, upon client request.
4.2. Quality Assurance
- We are committed to delivering the highest quality translations. We recognize that accuracy is a social responsibility, especially in fields like legal, medical, and technical translation, where errors can have serious consequences.
- All our linguists undergo a rigorous vetting process, including credential verification and sample translation assessment. Through a structured feedback mechanism, we equip linguists with constructive performance reviews designed to systematically elevate quality standards and refine their skills.
- All our projects undergo a multi-layered quality control process tailored to their complexity, intended use, and client requirements.
- We leverage specialized QA tools and terminology management systems to ensure consistent, high-quality outcomes.
4.3. Integrity and Transparency
- We conduct all business with honesty and professional integrity. We are transparent about our operational processes, quality assurance methodologies and pricing structures.
